We are in search of a highly motivated Executive Assistant (d/f/m) who will join our team to support Personio’s Chief People Officer (based in Munich) and Chief Marketing Officer (based in Amsterdam) and play a crucial role in maximizing the time of both in their positions.
Role Responsibilities: What you'll do

By excelling in these responsibilities, you will significantly contribute to optimizing the CPO's and CMO’s efficiency and supporting the overarching objectives of Personio.

  • Taking the initiative in efficiently managing the CPO's and CMO’s calendar, prioritizing, organizing and optimizing the time spent across each week.

  • Coordinating the logistics of significant internal and external meetings, including those involving the Talent & Compensation Committee and our People and Marketing Senior Leadership Teams.

  • Expertly managing travel itineraries and arranging associated transportation and accommodations.

  • Ensuring the CPO and CMO are well-prepared, providing thorough briefings for all meetings.

  • Developing and maintaining a yearly calendar for the CPO and CMO that aligns the company's annual plan with the priorities of your Executive.

  • Overseeing expense management and reporting for the CPO and CMO, ensuring accuracy and compliance.

  • Managing billing and accounting tasks tied to the CPO's and CMO’s activities.

  • Collaborating with both internal and external stakeholders, to ensure every interaction is both productive and information shared effectively.

  • Contributing to a positive experience for employees, guests, and candidates who interact with you as a representative of the executive and Personio.

  • Management of department wide meetings, events and activities, both virtually and in person.

Role Requirements: What you need to succeed
  • 3+ years in a relevant role of working with a senior leader / Executive, preferably within a dynamic and fast-paced setting.

  • Demonstrating high levels of professionalism, resiliency, service orientation, and a proactive mindset towards tasks, coupled with a genuine interest in making well-informed decisions for the business.

  • Prior exposure to demanding environments such as management consulting, big tech, or startups.

  • Proficiency in breaking down complex issues and robust quantitative problem-solving skills, with a strong emphasis on finding effective solutions.

  • Consistently executing responsibilities with diligence, ensuring meticulous attention to detail.

  • Maintaining confidentiality and trustworthiness in handling sensitive, non-official, and personal information related to the department and the organization.

  • Establishing a dependable, approachable, and amiable presence within the team, maintaining a positive demeanor even in challenging situations.

  • Competence in using GCalendar, GSheets, and GPresentations.

  • Strong verbal and written communication skills in English.
