Who we're looking for
We are excited to hire the first member of our Billing Operations team as part of our ongoing growth. The perfect fit for this role would be someone who has first-hand experience at a software company as well as the handling of software company billing. This is role is not designed as an AR/AP accounting role.
Reporting to the Global Head of Finance, the Billing Operations Specialist will partner closely with the Customer Success team, including Onboarding, Customer Success, Account Management, Partner, and Customer Support teams. This role is currently open to Canadian residents only; full-time remote.
Your typical week would include
- Handle Billing Exceptions: Manage exceptions in the order-to-cash process and address customer communications related to subscription billing and invoicing.
- Process Changes: Handle refunds, manage credits, update customer details, and apply discounts and ramp cycles.
- Manage Billing Queries: Address billing queries, manage coupons, and support the volume-based upgrade process.
- Oversee Dunnings and Payments: Actively manage the Dunnings process, failed payments, and onboarding orders.
- Support Escalations: Own Slack and Intercom escalation pipelines for billing-related issues.
- Ensure Timely Collections: Forecast collections, enforce payment terms, and improve the collections process.
- Record Keeping: Accurately record invoices, refunds, coupons, and credit invoices on Recurly.
- Provide Reporting: Deliver billing, collections aging, and forecasting reports for Customer Success and finance teams.
- Maintain Data Integrity: Review policies, conduct data audits, and ensure data hygiene.
- Improve Processes: Identify and implement improvements in billing operations and revenue accounting.
- Collaborate: Partner with stakeholders to manage transactions and address system gaps.
- Ad Hoc Analysis: Prepare ad hoc analysis and reports as needed.

- Have a strong background in billing operations and are excited about being the first member of our Billing Operations team
- Excel in a customer-facing role and can balance doing the right thing for customers with the right thing for the business
- Thrive in an autonomous work environment and have a proven ability to build relationships with internal stakeholders and customers
- Have meticulous attention to detail and can produce accurate, timely work products
- Are proactive, can take initiative, and manage your workday effectively
- Possess strong communication skills and can work collaboratively within a team environment
- Have a solid understanding of core accounting principles and revenue recognition principles in GAAP
- Are familiar with or can quickly learn tools like Hubspot, Recurly, and Intercom
- Are proficient in Microsoft Excel, including advanced functions like VLOOKUP, XLOOKUP, pivot tables, Index+Match, and SUMIF
- Are eager to drive enablement internally to broaden understanding of the billing operations function and help the company scale and improve its processes
